Why SME mobile contracts become inefficient as they scale

As businesses grow, managing mobile plans can become unexpectedly complex. What starts as a few devices and simple contracts can evolve into a mix of company-owned phones, ongoing payments and SIM-only plans across multiple networks. Misaligned renewals and varying costs make it easy to lose track of which plans suit the team, slowing workflows and driving unnecessary spending. According to Ofcom, “83 per cent of UK SMEs say they could not operate without communications services, with mobile connectivity essential for keeping teams connected.” Over time those decisions accumulate, and the result is a collection of contracts that were never designed to work together. Research into corporate mobility has found that the total annual cost of supporting a single business mobile device can exceed £1,200 when connectivity, management and support are considered. According to a recent survey, two‑thirds of SMEs have run out of mobile data in the past two years, with affected businesses reporting average revenue losses of £3,462 annually due to disrupted operations. Without oversight, many businesses continue paying for plans that no longer reflect how employees actually use their devices.

Regaining visibility and control

The first step towards improving mobile estate management is gaining a clear understanding of what is currently in place. That means reviewing devices, contracts and usage across the organisation and identifying where plans may no longer be appropriate.

Once this picture is clear, businesses can begin aligning contracts and reviewing whether current allowances match real usage. Many organisations discover that some users require far less data than others or that certain plans have become unnecessarily expensive over time.

Coverage is another important factor. Different networks perform better in different locations, which means businesses with multiple sites may benefit from a multi-network approach. Matching networks to locations can significantly improve reliability for employees who rely on mobile connectivity throughout the day.

Regular reviews also play a crucial role. Periodically assessing plans and usage helps ensure services remain aligned with operational requirements as teams grow and working patterns change.

Unmanaged mobile estates can quietly drain budgets and disrupt day-to-day operations. Businesses that run out of mobile data unexpectedly during important tasks such as processing payments or responding to customers often experience delays and lost revenue.

A structured approach allows organisations to keep oversight of costs, maintain reliable connectivity and adapt their mobile setup as the business evolves. Many organisations find that maintaining this level of oversight internally requires time and specialist knowledge that teams simply do not have.
